Job Description

Initial 6 month fixed-term contract 

Purpose of the role:

The Project Support Officer provides two key areas of support within the Strategic Implementation Office, directly contributing to the achievement of the SIO’s strategic and transformation goals:

1. Portfolio Reporting & Governance Support:
Supports reporting and governance activities across the entire SIO portfolio, ensuring accurate data collection, consolidation, compliance, and benefits tracking. This work underpins the SIO’s strategic and transformation objectives by enabling informed decision-making and effective oversight.

2. Project Coordination Support for Fast-Tracked Projects:
Provides hands-on project coordination for the implementation of fast-tracked projects, assisting project managers with scheduling, resource tracking, documentation, and stakeholder engagement. This support accelerates delivery of key strategic initiatives and transformation projects.

Key Areas:

 

  • Support the collection, consolidation, and maintenance of project data for portfolio-level reporting, risk management, and benefits realization.
  • Assist with the preparation and distribution of portfolio status reports and dashboards for executive and board stakeholders, in collaboration with the BI & Reporting Officer.
  • Ensure governance processes, frameworks, and compliance standards are followed across all projects.
  • Maintain portfolio-level registers (e.g., risk, issues, benefits) and support compliance tracking.
  • Contribute to the continuous improvement of reporting templates, registers, and documentation standards.
  • Assist project managers with scheduling, resource tracking, and action item follow-ups for fast-tracked projects.
  • Maintain and update project-specific documentation, registers, and templates.
  • Coordinate workshops, steering committees, and stakeholder meetings, including scheduling, logistics, and minute-taking.
  • Prepare agendas, distribute meeting materials, and follow up on action items.
  • Liaise with internal and external stakeholders to support project delivery.
  • Support change management activities, including communications and training related to new SIO processes, tools, and governance frameworks.
  • Assist in the rollout and adoption of new project support tools and templates.
  • Work closely with the BI & Reporting Officer and other SIO team members to ensure alignment between project data and portfolio reporting.
  • Identify opportunities to streamline project support processes and improve documentation standards.
  • Stay current with SIO methodologies, tools, and best practices.
  • Identify and implement opportunities to enhance reporting processes, data quality, and dashboard usability.
  • Stay up to date with Power BI features and best practices.

Required Experience & Qualifications:

  • Experience providing project support or coordination in a complex environment.
  • Experience supporting portfolio-level governance, risk, and benefits tracking.
  • Strong organizational and time management skills, with the ability to manage multiple priorities.
  • Excellent attention to detail and commitment to maintaining accurate records.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project/portfolio management tools.
  • Experience supporting change management and communications for new processes/tools.
  • Ability to work collaboratively with diverse stakeholders.

Desirable:

  • Experience in a not-for-profit, human services, or disability services environment.
  • Familiarity with project governance frameworks and reporting requirements.
  • Experience coordinating workshops, committees, or stakeholder meetings.
